Practice management system (PMS) websites Vs customised websites

We’ve been chatting to a number of potential new clients who are in a dilemma regarding their digital marketing and digital footprint. In almost all cases, the client knows they need to join the digital world and is torn between the convenient offer from the Practice Management System (PMS) supplier, which includes a free generic website as part of the relationship, and opting for a customised website to promote their practice.

The “free” website is an attractive option; after all, it’s free, and the work is done, set and forget!! However, will it deliver sustainable growth, brand personality and the flexibility needed to control your future?

A PMS is an invaluable tool for any vet clinic

Its value is in organisation. A well-engineered PMS centralises appointments, billing, client records and workflows. It reduces double-handling and creates a single source of operational truth. Any practice owner or manager will know how valuable this functionality is. A PMS is designed to support your clinic; however, it should not be your brand identity.

Your veterinary skills are unique to you, and your website must communicate those skills, promoting your values, philosophies, and why clients should choose you over your competitors.

Promoted as “free”, generic websites have hidden costs

A free website sounds attractive, but it is important to understand that they are built for scale, meaning they are mass-produced using a one-size-fits-all approach.

That means:

  • Limited control over structure and content
  • Restricted ability to optimise for Google and AI search
  • Minimal flexibility in design or conversion pathways
  • Generic layouts shared by multiple clinics
  • Little room to express your clinic’s specialist strengths

In short, you inherit a digital brochure, not a strategic growth asset.

“A PMS runs your clinic. A customised website builds your future.”

Growth and control are why SEO/AEO strategies and structure are essential

Searching for products or services online has changed dramatically, particularly over the past 18 months. While SEO (Google) still dominates the search space, AEO (Answer Generative Optimisation) employed by AI search engines is quickly becoming the search platform of choice for many people. No doubt you have used one yourself at some point. Asking a question on your phone like “Best Thai restaurant near me”, for example, is a form of AEO. Once you use this method, you rarely go back to Google. Your potential clients are no different. They don’t simply look up your phone number; they ask questions.

  • “Which veterinary clinic nearby has a board-certified orthopaedic specialist for dogs experienced in procedures like TPLO surgery or complex fracture repairs?”
  • “What are the possible causes of sudden limping in my cat if there’s no visible wound, and how do I know whether it’s serious enough to require an immediate vet visit?”
  • “Who is the highest-rated veterinary clinic near me that has strong reviews for compassionate care and surgical expertise?”
  • “Which veterinary clinic nearby has a board-certified orthopaedic specialist for dogs experienced in procedures like TPLO surgery or complex fracture repairs?”

Search now happens across multiple avenues.

  • Google (SEO),
  • AI engines and answer platforms (AEO),
  • Voice search,
  • Local map results

For your clinic to be found, recognised and recommended, the website must demonstrate:

  • Technical SEO/AEO foundations
  • Structured data and schema markup
  • High-quality, original content
  • Topical authority
  • A sound user experience
  • Local relevance signals and local optimisation.

Search engines and AI systems prioritise trusted, authoritative, content-rich sources. If your website is templated, thin, and structurally limited, it is unlikely to be treated as a source of truth. Mass-produced websites rarely meet these standards.

Your clinic is not a template - It is your livelihood and your passion

I have not met an independent veterinarian or specialist vet yet who considers their business as a simple template, a copy of what another vet is doing. Your practice, or clinic, is your livelihood, and you spend many heart-filled hours building it on five key pillars:

  • Reputation
  • Expertise
  • Community trust
  • Culture
  • Clinical philosophy

Finding you online is phase one of the puzzle; communicating to potential clients that you are the best vet option for their companion is phase two. A website is your shopfront and often the first impression a potential client forms of you. If it looks identical to ten other clinics using the same PMS, what does that say about your brand? Phase three is the client experience.

Think of it this way.
A technically structured website gets you in front of potential clients
A customised branded website gets them booking an appointment,
Your pillars convert them into a client for life

Each step supports the next one.

Why is a customised standalone website the best option?

Importantly, you own it. One of the biggest risks with bundled websites is dependency. If your website is tied to your PMS provider:

  • You may not control your domain
  • You may not control hosting
  • Migration can be complex
  • Content can be difficult to extract
  • Redirects may not be managed correctly

From a search perspective, poorly managed migrations can erase years of SEO equity. Google treats site moves carefully, and without control, you risk losing rankings, traffic and credibility.

Two further critical reasons why a customised standalone website is your best option are:

Brand identity. When you first start out, you may not consider “brand identity” a top-level priority; however, it will quickly become one of the most important aspects of your business model. A standalone WordPress website is the key to building your brand into a powerful client-acquisition and client-retention tool. This platform enables you to:

  • Speak in your own voice
  • Showcase your team and culture
  • Highlight your specialist services
  • Build authority in niche areas
  • Create meaningful client education resources

Your brand should not be constrained by someone else’s template.

The next is flexibility. One thing that affects every business, across every industry, is change. Markets change, competition emerges, and services evolve. You may find yourself introducing new specialist services, expanding or relocating, targeting referral partnerships, or facing a competitor entering your turf. If your website is locked into a rigid PMS template, your ability to respond is limited.

Again, it may not be top of mind in the early stages of your business; however, static, non-performing, and inflexible websites are among the biggest frustrations we hear from clients before they join us.

A custom WordPress platform gives you:

  • Full control over structure and landing pages
  • Freedom to publish targeted content and FAQs
  • Scalability up or down as your clinic grows
  • The ability to integrate new technologies
  • Control over hosting, domain and migration

When competition intensifies, you cannot afford to “wait and see.” You need to move quickly, publishing content, improving local authority and feeding both SEO and AI systems. Templated sites rarely move at the required speed or adapt successfully.

Long-term value vs short-term convenience

Templated websites are mass-produced and very fast to employ; however, they are not designed or structured for brand growth, ownership or flexibility. To put it bluntly, they are a placeholder.

“A templated website is a placeholder; a customised website is a strategic growth asset you own and control.”

As I mentioned, a high-functioning PMS is an operational asset. A customised, owned WordPress website is a growth asset. The most successful veterinary clinics understand the distinction.

  • Operations drive efficiency.
  • Brand and visibility drive growth.

Both matter, but only one defines your long-term value in the marketplace.

A PMS website is typically a generic, templated site offered as part of your software package, while a customised website is independently built around your clinic’s brand and goals. A PMS supports operations, but a customised website supports growth. One manages your clinic; the other markets it.

While there is no upfront cost, generic PMS websites often come with hidden limitations. These include restricted SEO/AEO capability, limited content control and minimal design flexibility. Over time, these constraints can cost you growth opportunities.

Mass-produced websites are built for scale, not strategy. They rarely provide the structure, authority signals or optimisation required for strong SEO and AEO performance. Without these foundations, your clinic is less likely to be found or recommended online.

Clients now search by asking questions through Google, AI engines and voice search. Your website must be technically structured and content-rich to appear as a trusted answer. Without proper optimisation, your clinic may not appear when potential clients search.

ter for veterinary clinics?
Your clinic is built on reputation, expertise, community trust, culture and clinical philosophy. A customised website allows you to express these pillars clearly and authentically. If your website looks like every other clinic’s, your brand impact is diluted.

You may not fully control your domain, hosting or content. Migration can be complex, and poorly managed transitions can damage your search rankings. Losing SEO equity can significantly impact traffic and credibility.

Specialist Vet Marketing builds standalone WordPress websites designed specifically for veterinary growth. We focus on brand positioning, technical SEO/AEO structure and scalable content strategies. This ensures your clinic is both visible and compelling online.

We provide full ownership, hosting control and strategic guidance so your website can evolve as your clinic grows. Whether expanding services, entering new markets or responding to competition, your digital presence remains adaptable. This allows you to move quickly and confidently in a changing marketplace.
